1. Introduction to Widgets in RevBI
Widgets in RevBI are versatile containers that facilitate the visualization and analysis of data. They are designed to provide users with a customizable view of specific metrics or reports, presenting data in an intuitive manner tailored to user needs.
2. Understanding the Structure of a Widget
Widgets consist of different options and components:
-
Types of widget:
-
Metrics: Allows exploration and examination of one or more key performance indicators across various dimensions with a variety of charting alternatives or in a tabular layout. Check the Metrics section above in this guide for more details.
-
Funnel: Empower out-of-the-box conversion rate reporting by stage - for $ Amount and # Count of your opportunities in BoostUp. Gain insights into the progression of deals and general data as it moves through a series of stages, visualized using either a funnel diagram or a numbers table.
-
Report: Supports list views of records that meet particular criteria by employing filters, arranging, and selecting the number of items displayed in a table format. Similar to your common CRM reports.
-
-
Widget definitions:
There are three different types of widget of which you can choose from depending on your analytical needs:-
Live vs Historical:
-
Live = Based on your current live data. Please note, that you are only going to be able to either create new or select from already existing metrics that are based on live data as well.
-
Historical = Based on your historic snapshot data. Please note, that you are only going to be able to either create new or select from already existing metrics that are based on historical data as well.
-
-
Funnel: Use this widget type to quickly create your stage by stage conversion rates and analyze our overall sales cycle length and win rate.
-
Report: Use this widget to create CRM-like list view reports such as you can see e.g., on your BoostUp’s opportunity page.
-
-
Widget filters: Add widget-level filters that you can apply across all underlying metrics simultaneously that you already added to the widget. Widget filters enable users to apply flexible, real-time conditions to their data without the need to setting these filters as requirements for each single metric itself.
3. Creating a Widget
-
Accessing the Builder: Click on your “RevBI” navigation menu item on the left-hand side of your screen.
-
Opening the Widget Management: At the lower left corner, click on “Widgets” to see all your previously created widgets.
-
Initiating the Creation: Click on “Create Widget” if you like to create a new widget from scratch. You will find this button at the top right corner of your screen. Otherwise, click on the already existing widget that you’d like to adjust. Also, you can use the search bar on the right upper side of your screen to look up the widget name that you would like to change.
-
Naming the Widget: Provide a relevant name for your widget based on its intended purpose.
-
Select the type of widget: Determine the widget type you would like to create. We explained the various widget types in the earlier section above:
-
Metrics
-
Funnel
-
Report
-
-
Configuring the Widget:
-
Remember that you can create metrics based on live data or historical snapshot data? Depending on which type of these metrics you would like to use on your widget, you will have to select the same widget type as the metric type you intend to use. We currently don’t support a mix of live data and historical snapshot data metrics on the same widget.
-
Live or Historical selection:
-
Create a new live data metric or select from your already existing live data metrics. Select “Live Data” and then click on “Continue” before you can choose between “+ Existing Metric” and “+ New Metric”.
-
Create a new historical snapshot data metric or select from your already existing historical snapshot data metrics. Select “Historical” and then click on “Continue” before you can choose between “+ Existing Metric” and “+ New Metric”
-
Metric Selection: Once you decided between Live vs Historical Data, select your metrics that you would like to use on the current widget. You can include various metrics on the same widget. Keep in mind that the more metrics you’re going add, the bigger the impact on your widget or dashboard’s performance might be. We generally recommend to add a maximum of 10 metrics on one single widget. This is not a hard limit but rather a performance best practice.
-
-
-
Preview and Save your widget: Upon adding your selection, a preview of the widget will appear on the your main screen, allowing you to see how your data will be presented. Once you are satisfied with your current widget design, make sure to press “Save and Exit” at the top right corner.
- Below, you'll find a video walking you through how to create a metric widget:
-
Using the Funnel widget: In order to create an out-of-the-box analysis for your sales funnel conversion rates, click on “Continue” under “Funnel”.
-
Setting your Cohort criteria: Now that you have started building your funnel widget, select “Object = Opportunity” in the configuration menu on the left of your screen. Make sure to add any “Entry Conditions” that you would like to always apply to your funnel. Note: Try to anticipate which criteria you might want to change dynamically versus the ones that should always apply to your funnel. Dynamic criteria are going to be added later when you will configure your widget filter.
-
Configure your Stages: In the “Stages” dropdown, make sure to select the correct CRM field that represents the stage values for which you would like to analyse your conversion rates. It is important that you 1) drag and drop the stages in the correct, linear order in which your deals go through your sales cycle, and 2) ensure that only either Closed Won or Closed Lost is going to be the final stage. Your funnel is only going to work when you are selecting one final stage.
-
Configure your Widget Filters: Before we are going to select your funnel metrics, it is critical that you are going to add your widget filters first. By default, you should always add the “Business Type” or “Opportunity Type” filter as well as the “Opportunity - Close Date” on every funnel widget you are going to create. Both of these will allow you to slice and dice your data dynamically while helping to reduce the amount of data being pulled when you are opening and loading your funnel widget.
-
Selecting your Funnel Metrics: Now that you configured the funnel setup, it is finally time for the best part! Let’s select your funnel metrics by clicking on “Metrics definition” in your funnel configuration menu on the left side of your screen. By clicking on “+ Existing Metric” our default metric library is going to appear. We prebuilt a set of the most critical funnel metrics that you are going to need. All you have to do is to select the ones you want to use right now. Note: We highly recommend that you simply select ALL metrics whenever you create your first funnel widget. This will allow you to see what value and insight each of these metrics deliver. Afterwards, you can deselect the ones you might not want to use for now.
-
Selecting your Top Metrics: Last but not least, it’s time to select the top metrics of your funnel. While the previous “Metrics” are going to appear for each stage of your funnel, the top metrics - as the name suggests - are sitting “on top” of your funnel, providing you inside across your end-to-end sales process. Remember that these metrics are either calculated based on “Deal Count” or “Deal Amount” - depending on what you have chosen as you “Default Funnel Metric”. Click “add to widget” for the ones you intent to select. Don’t forget to hit “Save and Exit” on the top right corner of your screen.
