What happens in Manage Users
The Manage Users Section under Company Settings in the Settings tab is where you would be able to add/remove/edit BoostUp Users.
How to use Manage Users
Searching for and Editing a User within BoostUp - Settings → Manage Users
- Using the search box, type in the name of the user you are attempting to modify
- In order to easily find who you are looking for; feel free to use the filters up at the top of the page i.e. role, managers, etc.
- Once you find the individual you’re looking for, choose the pencil icon at the far right in order to edit permissions:
- From here- you can edit the name, role, user profile, manager, and status (active/inactive/etc)
Note: marking a user as ‘inactive’ will deactivate them from the BoostUp Platform. This will only be the case if Set/Override Manager from CRM field ManagerId in Onboarding Settings is switched off. Otherwise if the Manager Sync is turned on, the user will be reset to active the next time we sync to SFDC.
- From here, you can also check that email and calendar sync have been turned on and have synced most recently. If you receive any error messages such as ‘failed’ or ‘watcher failed’ - please check to ensure that the individual has been added to the necessary AD group/Google group to allow BoostUp access to both email and calendar activity.Once modifications have been made, select ‘save’. All changes will be made instantaneously.
Note: If you’re not seeing the manager hierarchy take effect within the ‘rollups’ tab; remember to ‘refresh’ at the top right of your rollups page.
Impersonation
Should Sales Ops want to edit permissions for a manager or AE and allow them to log in as another user- they can scroll down to the ‘impersonation’ section within the edit user popup:
From here- Sales Ops can choose whether a manager can impersonate ‘all’, their team, or a certain user:
The ‘read-write’ option will allow them to not only see the data of that user/team/etc., but will also allow them to make edits on their behalf. If you'd like for them to update SFDC fields for the user; make sure the 'Update SFDC fields' toggle is enabled. Should you not want them to make edits- please select ‘Read only’ from the drop down.
Once the correct settings are selected- they will appear within the box:
Note: if you’d like the user to have access to updating ‘SFDC fields’; the circled setting will need to be enabled.
Once modifications have been made, select ‘save’. All changes will be made instantaneously.
The below video will walk you through how to edit a user within the BoostUp Platform:
Adding a new user
- Select ‘Add Users’ from the ‘Manage Users’ Page:
- You have the option to add users manually (currently not living within SFDC) or from your CRM (SFDC). Typically- most individuals will add users from CRM:
- Use the search field to find the user you would like to add
- Select the user you would like to add by selecting the box on the left hand side and click ‘next’ (bottom right hand corner of the page):
- Once selected, you have the ability to change the manager and role
The most common roles used within BoostUp (and what you’re typically going to select) are Sales Ops, Manager, and Account Executive.
Note: Sales Ops has the ability to add/manage users whereas Manager and AE roles do not.
- Sales Ops has access to configure most settings within the platform - aside from Managing Users; they can modify baseline settings; edit forecast and rollup configuration settings; and create/edit user profiles (See Admin Guide).
- Managers will only see their team rollups within BoostUp- They can submit their own forecasts as well as see their team’s active opportunities.
- Account Executives will see their opportunities and if enabled, will have the ability to submit their own forecast.
Once either field is selected, click on ‘add’ towards the bottom right hand corner of the screen.
The user has now been added to the BoostUp Platform.
Note: In the instance of changing a role for multiple users, editing a manager for more than one user, or deactivating a number of users- there’s the option to bulk update fields. This option is visible once you select more than one user within the ‘manage user’ page:
Once selected, you’ll see the same editable fields as you would see when selecting one individual user.
Enabling/Disabling Email and Calendar Sync
In order to enable and or disable email and calendar sync for a user- you’ll have to navigate back to ‘manage users’, search for that user, select their name or the pencil icon- and toggling 'on' to enable email and calendar sync and 'off' to disable.
Take a look at the below video for a step by step walkthrough of creating a user in the platform.
Once a user is created, you’ll have to find that user in the user list and ensure all necessary fields are completed, as well as enabling email and calendar integration. T
The following video will walk you through the next steps after adding a new user:
- Note*: If you'd like to turn on Auto Provisioning - please work directly with your CSM to do so. We only recommend turning this on if the CRM hierarchy is in good order and completely up to date within SFDC. All changes will be managed from SFDC if these settings are enabled.
How to test that the user has been added correctly
- Have the user login to BoostUp and make sure they can see all of their data- based on the user profile that was selected for them.
- Next time they make a change in SFDC, have the user double check that the change has been reflected correctly in BoostUp and vice versa.
- Have the user go into Settings -> Link Accounts and make sure that the ‘test account’ link is working properly for both Salesforce and Email connectivity - again ensuring that the platform is syncing over the data from both SFDC as well as Email/Calendar.
Auto User Provisioning
**As a disclaimer, if auto-provisioning has not yet been enabled; please work with your CSM to ensure the right steps are followed/etc.
